At Scoop, we know that so many meetings today lack the necessary prep and post-wrap-up to make them productive and efficient.
That’s why Scoop’s Meeting Workflows help reinforce good habits that keep meetings on track and productive.
In this guide, we’ll cover how to leverage pre and post-meeting features that ensure your meetings are worth the time you spend in them.
Pre-meeting prep messages
It all starts with your first meeting channel, synced directly from your calendar. Here, meeting attendees have access to valuable prep notifications, reminders, and details, including:
24-hour meeting prep notifications
The meeting title and time
Agendas, notes, and related documents
The option to propose skipping the meeting
Insight into the number of confirmed guests and their work locations
Flexibility to update your RSVP or work location
Helpful 15-minute reminders
The ability to notify all meeting guests if you’re Running Late
Links to join the call
Fun Icebreakers
Update RSVP or work location button
And propose skipping
Adding meeting prep
There are a few convenient options for adding prep materials to your Meeting Workflows, including:
In your meeting channel, simply select Add meeting prep from the 24-hour Prep Notification.
From the Home tab in the Scoop Slack app, click Manage Schedule, locate the meeting, and choose Add meeting prep from the drop-down menu.
At the bottom of your daily Snapshot summary
You can include various types of meeting prep and links, such as:
A text-based agenda which displays directly on your Workflow notifications
An external link to your agenda
Prep instructions for meeting guests
Meeting goals
Additional links, like pre-reads or materials to be used during the meeting
Notes or other relevant documents
After adding all necessary materials, don't forget to save your changes before closing the pop-up.
That’s all there is to it! Once complete, Scoop will seamlessly integrate these details into the notifications sent to attendees. And don't worry; you can always update this later if needed.
Ice Breakers
Looking to liven up your meeting and get to know everyone a bit better? Try the Suggest Ice Breaker Question option in the 15-minute reminder.
When you do, we’ll send you an ephemeral message with fun questions to send to the channel, sparking engaging conversations and fostering team connections.
Post meeting wrap-up
Now that you've ended a productive meeting, you can leverage your central meeting channel to:
Recap action items
Outline next steps
Address any last-minute questions
This ensures attendees leave with a confident understanding of how to get their best work done; even meeting guests who couldn’t attend will stay in the loop!
